Site Inspection Portal
A growing solar installer was running site inspections on paper. We built a mobile app that connects HubSpot, Drive, and a phone camera — so the inspection is done before the installer leaves the driveway, and the office sees it instantly.

The numbers
The Challenge
The installer filled out a checklist on site, took photos on their phone, and uploaded everything to Google Drive separately. Back at the office, someone had to match the photos to the form, re-key the information into the system, and manually assemble a report before a quote could go out.
It worked. But it was slow, error-prone, and entirely dependent on admin time. The business was spending approximately 90 minutes of admin time per inspection — around 6 hours per week — just to get a quote ready to send.
What We Did
We built a mobile-first web app the installer opens on their phone the moment they arrive on site. The installer selects the job directly from HubSpot — no copying customer details by hand. Photos and videos are captured per question and uploaded straight from the phone to the deal's Google Drive folder.
On submit: a branded PDF report is generated combining answers and photos in the correct order, dropped into Drive, and the HubSpot deal flips to "Site Inspection: Done" automatically. No re-keying. No admin assembly. No waiting.
The Outcome
Inspection to quote turnaround dropped from 2–4 days to the same day. Admin time per inspection went from ~90 minutes to zero. The business freed up approximately 225 hours of admin time per year — work that was previously a bottleneck between site visit and revenue.
Estimated saving: $35,000–$40,000 per year in admin cost (0.5 FTE previously dedicated to inspection processing). Volume can now scale without adding headcount.
